This individual identified for this position will work for Diverse Staffing Services, Inc. as Executive Secretary to the United States Attorney at the USAO Western District of Arkansas in Fort Smith, AR. You will work 8:30 AM to 5:00 PM Monday through Friday, except federal holidays. A DiverseGOV employee in the role of Executive Secretary to the United States Attorney oversees the day-to-day activities of the immediate office of the United States Attorney (USA). Here are the tasks and duties that a contractor in this role will be expected to perform on a day-to-day basis: * Fully and accurately reflect supervisory philosophies, policies, goals, and management objectives. * Represent the United States Attorney when addressing leading figures within the government, business, law enforcement community, members of the media, and others. * Present the views of the United States Attorney in correspondence and other communications with agency managers and program officials. * Exercises control over the USA's calendar for all appointments, meetings, engagements, and conferences for commitments of time. * Establish priorities and arranges, shifts, or cancels appointments and meetings. * Accept or declines invitations to meetings, conferences, speaking engagements, and news media appearances based on the USA's scheduled activities and special interests. * Review all outgoing correspondence prepared for the USA's signature (ie action documents, case files, legal documents, and reports). * Edit other written material for adherence to the USA's established policies, writing style, and previously expressed views, as well as for conformity with departmental and internal policies and correspondence procedures. * Advise writer of needed changes to the written material. * Screen telephone calls and visitors desiring to speak with the USA. * Exercise independent judgment and discretion to determine the nature, purpose, and urgency of the matter and if it requires interrupting the USA. * Determine which calls must be referred to the USA and which can be resolved independently or by a more appropriate staff member. * Maintain a log of visitors and callers, their purpose, and independently follows up or reminds staff of necessary action items as appropriate. * Read, screen, and control incoming mail. * Independently deal with those matters addressed to the USA that do not require his personal attention by referring such to appropriate staff members. * Compose a variety of written material. Such material varies in subject and format but typically requires drafting appropriate correspondence that reflects the USA's policies and special interests. * Develop a variety of recurring reports and documents which involve obtaining information from staff, files, or other sources, and formatting the needed information properly in a narrative, table, or graph formats. * Make travel arrangements for the USA. Secures flights and accommodations and maintains contact while the USA is in travel status and informs him of important developments. * Arrange meetings for the USA. This includes preparing agenda, notifying participants, etc. Develop and assembles background information as required. * Attend meetings and conferences to record, summarize, and distribute minutes. Checks to ensure that commitments made at meetings are kept and keeps the USA informed. * Produce a variety of written documents utilizing varied and advanced functions in one or more types of office automation software. * Integrate output from different software types (eg tables produced by database applications and charts and graphs produced by electronic spreadsheet applications). * Ensure documents are in the proper format, and that spelling, punctuation, capitalization, and grammar have been verified. * Consult with document author to resolve any questionable material. * Perform other related duties as assigned. * The Executive Secretary may on rare occasions have to deal with disgruntled or angered parties who seek restricted or confidential information. * Infrequent travel may be required to participate in conferences, meetings, and training and use various computer applications and database software including Microsoft Office programs, websites, and internal and external databases to prepare documents and spreadsheets Sound like you? [Click Here to Email Your Resume] * US Citizen * background investigation * For 3 of the 5 years immediately prior to applying for a position, the candidate must (1) have resided in the United States, (2) have worked for the United States overseas in a federal or military capacity, or (3) be a dependent of a federal or military employee serving overseas. * High school diploma * At least 3 years of experience in executive secretarial, clerical, and administrative support. * Proficient in Microsoft Office software programs (ie, Word, PowerPoint, Excel, and Outlook). * Ability to use, understand and maintain directories, office personnel lists, and other guides and references to provide a variety of information on the office and to refer questions to other offices. * Skill in meeting and interacting with people in a professional, courteous, and tactful manner. * Skill in operating a computer terminal, personal computer, electronic typewriter, or dedicated word processor using a standard typewriter style keyboard with additional function keys to produce a wide range of documents. The full-time Executive Secretary is required to type at least 40 words per minute. * Skilled in operating automated document processing equipment such as photocopiers, printers, fax machines, scanners, binding machines, and label makers.
